Free freight audit FAQ: questions owners ask before they send a file

The free audit

What do I need to send?

A CSV of up to 20 recent loads. Excel can save as CSV. After you request the audit we reply by email with how to send them. Please do not email files, and remove driver names and other personal data first.

Is the audit really free?

Yes. One audit on up to 20 loads, delivered as a one-page report. Anything after it is scoped and priced in writing, after the audit. There is no public price list yet.

What do I get back?

A one-page report. It shows what your loads earned per loaded mile and per all mile, the items that look earned but unbilled with the formula and evidence for each, and invoices that are slow against their terms.

Do you need my rate cons and invoices?

They help and they make findings stronger, but you can start with the CSV. Missing documents just mean fewer verified findings.

Is the audit built for one truck?

It is built for fleets of about 5 to 15 trucks. If you run one or two, the free tools may answer most of it. You can still ask and we will say honestly whether it is worth your time.

What we promise and what we do not

Do you promise to recover a set amount?

No. The audit shows what your paperwork indicates. What you collect depends on your contracts and on what the other side accepts. Figures on this site marked EXAMPLE VALUES are invented.

Are you a broker or a dispatcher?

No. We work for the carrier. We do not book freight, we do not dispatch and we do not set your rates.

Is this legal, tax or accounting advice?

No. It is a document check. Ask your own lawyer or accountant about contracts, fees and taxes.

Will asking a broker for detention hurt the relationship?

That is a business judgment we cannot make for you. A claim with the rate con terms and a signed time is routine paperwork, and the guide on detention evidence shows how to write it plainly.

Your data

Where is my data?

We use what you send only to reply to your request and to build your audit. We do not sell it or share it with advertisers. To have it deleted or anonymized, write to hello@milecfo.com. More on the security page.

Do you ask for bank, ELD or TMS logins?

No. Only a loads file. We never ask for those logins.

Do the free calculators send my numbers anywhere?

No. They run in your browser and send nothing.

Do you hold a security certification?

No, and we do not claim one. The security page lists what we do, what we ask of you and what is still being documented.

Fuel and weather data

Are the diesel and weather numbers live?

No. They are dated snapshots from the U.S. Energy Information Administration (diesel) and the National Weather Service (alerts), each with its retrieval time and limits.

Can I use them to set a rate?

No. They are context beside a finding, not a freight rate and not a delay prediction.

Paperwork questions owners ask

What counts as proof of delivery?

Usually the signed BOL with the receiver's printed name, date and in and out times, sometimes with photos or receiver paperwork. See the POD checklist.

When does detention start?

It depends on your rate con: the free hours, whether the clock starts at the appointment or your arrival, and any cap or notice rule. Use the detention calculator with your exact terms.

Why is my rate per mile lower than the broker quoted?

The quote is per loaded mile. The truck also drove empty miles to the pickup. See true RPM.

What should I do with an invoice that is 60 days old?

Ask in writing what is missing, resend the packet and check the remittance for partial payments. The aging guide lists a first action for each bucket.

Is factoring the same as an audit?

No. Factoring speeds up cash on invoices you already sent. An audit checks that the invoices were complete. See the comparison.
