Sample report EXAMPLE VALUES

This is what your audit looks like

Two pages from invented files. Nothing here is real. Use it to see the layout, the formulas and how potential, verified and collected money stay apart.

EXAMPLE VALUES Invented data

Every load, lane, broker and amount in this example is invented to show how the page works. None of it comes from a real carrier or broker. Brokers are shown as Broker A, B, C and so on.

Page 1

Findings, load by load, with the document match

Twenty invented loads. For each finding the report shows four checks: rate confirmation, POD, invoice and payment. A tick means the document supports the figure, a cross means it disagrees, a dash means nothing to compare yet.

Totals are computed from the rows on this page, so they always add up. Slow pay is shown as timing, not as money lost. Recovery depends on your contracts and on what brokers accept; we do not promise any amount.

Page 2

Fleet numbers, Fleet Score and the ledger

A second invented file (12 loads, report date 2026-09-30), calculated with exact decimal arithmetic when this page was built. Detention is valued at an assumed $60.00 per hour that we typed in. In a real audit you supply your own.

Revenue per all mile

$2.73

Revenue per loaded mile

$3.20

Empty miles

14.8%

Unpaid more than 30 days

$1,990.00

12 loads, $15,600.00 revenue, 4,870 loaded miles, 845 empty miles. The gap between the loaded-mile and all-mile rate is $0.47 per mile: that is what the empty miles cost in rate terms.

Payment speed on 8 paid invoices: average 25.1 days, median 23.0, 90th percentile 36, 2 took longer than 30 days.

First fixes (fixed order, evidence only)

  1. Cash at risk. $1,990.00 on 2 invoices is unpaid and more than 30 days old.
  2. Detention. 6.0 detention hours over free time with nothing billed or paid. At the assumed $60.00/h that is $360.00.
  3. Broker concentration. Broker A is 42.1% of revenue.

Fleet Score: 44 of 100

An internal heuristic with thresholds we chose. It is not an industry benchmark and not a credit score.

Money at Risk ledger

Each item has one status and sits in one total only. Potential, verified and collected are never added together.

Potential

$360.00

identified + evidence needed. Not proven yet.

Verified

$395.00

verified + claimable + submitted + approved. Supported by documents, cash not received.

Collected

$200.00

Payment seen. The only number that is cash.

Not counted in any total: rejected + closed = $90.00. Unpaid invoices ($1,990.00 above) are tracked as cash at risk, not as ledger items, so no dollar appears twice.

Formulas used

  • Revenue per all mile = total rate / (loaded + empty miles)
  • Empty share = empty miles / (loaded + empty miles)
  • Detention per stop = max(0, hours on site - 2.0 free hours); missed = hours with nothing paid
  • Money at risk = rate of unpaid invoices dated more than 30 days before the report date
  • Ledger totals = sum by status group; each item is in exactly one group

How to read it

  • Potential is what our rules flag as earned but not billed or paid. It is not proven.
  • Verified means the documents support the amount. It is still not cash.
  • Collected means a payment was seen and matched. It is the only cash number.
  • One dollar, one total. A finding sits in exactly one of the three, so totals never double count.

What it will not say

  • It will not rank you against other fleets. We have no benchmark we can source.
  • It will not name brokers other than the ones in your own file.
  • It will not promise that a broker will pay a finding.
