Most small carriers write off a little on every load: an hour of detention nobody billed, a lumper receipt that was never reimbursed, an invoice a few dollars under the rate con. We find those items, line up the paperwork that proves them, and you decide which ones to pursue.

Amounts are worked out from your documents. If the document is missing the item stays "evidence needed" and the amount is only potential.

How an item moves

Every item has one status and sits in one total

A claim is only called verified when the documents support it, and only called collected when payment shows up. Estimates never get mixed with cash.

  1. Identified, evidence needed

    We spotted a gap in the file. We list what proof is missing: signed times, a receipt, the rate con.

  2. Verified, claimable

    The documents match and the amount holds up. The item waits for you.

  3. Your approval

    You say yes or no. Nothing about money goes to a broker or shipper until you approve it.

  4. Submitted, approved, collected

    We track the claim until payment appears on a remittance or bank line. Only collected money is cash.

  5. Rejected or closed

    Some claims fail and some you drop. They stay in the record and out of the totals.

Might be owed. Identified or evidence needed. Not proven.

Verified

Documents support it. Cash is not received yet.

Collected

Payment seen. The only number that is cash.

What we cannot promise

  • Any amount. Brokers and shippers can say no. Every figure on this site is a scenario or a illustrative example, never a guarantee.
  • Old loads. Your contract or rate con may set a time limit for billing extras. We read the terms you give us. We are not lawyers.
  • That we know your terms. If a rate con does not mention detention, there may be nothing to claim.

How this differs from what you may know

  • Factoring buys your invoices to speed up cash. It does not look for billing you missed. We do not buy invoices.
  • Collections agencies chase old unpaid debt. We start earlier, with items that were never billed.
  • Shipper-side freight audit checks what shippers paid carriers. We work for the carrier and look at your own billing.
  • Dispatch services book and plan freight. We do not.

MileCFO is not a freight broker and not a dispatcher. We do not book loads, we do not negotiate your rates and we do not move freight. We look at loads you already ran and the paperwork behind them.

Do you contact my brokers?

Only with what you approve. Nothing about money goes to a broker or shipper until you say yes.

What proof do you need for detention?

Usually the rate confirmation with the detention terms, and signed in and out times on the bill of lading or a check-in record. Without times, many brokers decline. The detention evidence guide lists what helps.

Is the first audit really free?

Yes, the first audit on up to 20 loads is free. Anything after it is scoped and priced after you see it, in writing.

Do I need to change my TMS or give you logins?

No. We work from a loads file and the documents you send. We never ask for bank, TMS or ELD logins.
