MileCFO Audit
What your loads earn per mile you actually drove
Your first MileCFO audit is free, on up to 20 loads. You get numbers, the formula behind each one, and the first three fixes your own data points to.
What it measures
Six numbers, each with its formula
All ratios are totals divided by totals. We never average per-load percentages, because that tilts the answer toward short loads.
Revenue per mile
Two numbers side by side: per loaded mile and per all mile (loaded plus empty). The gap is the cost of empty miles in rate terms.
rate total / loaded miles rate total / (loaded + empty miles)
Empty miles
The share of miles you drove without freight, for the whole file and by lane when a lane has enough loads. Blank empty-mile cells are unknown, not zero.
empty miles / (loaded + empty)
Broker concentration
How much of your revenue sits with each broker, plus a concentration index from 0 to 10,000. Brokers are shown by name only in your own report.
sum of (share % squared)
Payment speed
Days from invoice date to payment date: average, median and 90th percentile, and how many took longer than 30 days.
payment date - invoice date
Money at risk
Unpaid invoices dated more than 30 days before the report date, using the open balance after partial payments and credits. Unpaid invoices with no date are listed apart, not counted.
Missed detention
Hours at each stop beyond free time, for stops where nothing was billed or paid. Free time defaults to 2 hours and you can change it. Dollars appear only if you give us your rate.
max(0, hours - free hours)
Fleet Score
A 0 to 100 number built from four parts
It is our own heuristic with thresholds we picked. It is not an industry benchmark, not a credit score, and a low score is not a verdict on your company.
| Component | Max points | Points table |
|---|---|---|
| Empty-mile share | 30 | 8% or less: 30. Up to 12%: 24. Up to 16%: 18. Up to 20%: 12. Up to 25%: 6. Above: 0. |
| Paid within 30 days | 30 | 30 x (invoices paid within 30 days) / (paid invoices + unpaid invoices older than 30 days) |
| Top broker share | 20 | 25% or less: 20. Up to 40%: 14. Up to 55%: 8. Up to 70%: 4. Above: 0. |
| Money at risk / revenue | 20 | 0%: 20. Up to 2%: 15. Up to 5%: 10. Up to 10%: 5. Above: 0. |
If a part cannot be computed from your file, points are scaled over the parts that can. At least two parts are needed.
The first three fixes
The report names the first three that apply, in this fixed order, using numbers from your file only. It does not guess at causes.
- Cash at risk: any unpaid invoice past 30 days
- Detention: missed hours above zero
- Slow broker: a broker with three or more paid invoices averaging over 30 days
- Deadhead lane: a lane whose empty share is above your file average
- Weak lane: a lane whose rate per all mile is below your file average
- Concentration: top broker above 40% of revenue
Lanes are only ranked when they have at least 3 loads.
Limits you should know
- Up to 20 loads is a small sample. It shows where to look, not a year of truth.
- The audit does not know your costs unless you give them. Fuel, driver pay and insurance are not in the first audit. The cost per mile tool covers that.
- It reads your file as it is. If a rate or mileage is wrong in the file, the numbers are wrong too.
- Duplicate load IDs are counted once and flagged. Credit memos reduce the open balance of their invoice and are not counted as revenue.
- Dates are read as US month/day/year when unclear.
Questions
Is this the same as a freight audit?
No. A freight audit usually checks what a shipper paid carriers. This audit is carrier-side: it checks what your own loads earned and what was left unbilled.
What happens to columns with driver names or phone numbers?
Our audit tool ignores columns whose names look like driver, phone, email, address, ZIP, CDL or SSN, and does not repeat them in the report. It is still best to remove them before you send the file.
Can I run the numbers myself first?
Yes. The load profit and cost per mile tools use the same arithmetic on one load or one month, in your browser.
Does the audit compare me with other fleets?
No. We have no benchmark we can source for fleets your size, so the report compares your loads with your own file only.
